EXHIBITORS RULES AND REGULATIONS

Rules and regulations governing the show have been briefly written to advise exhibitors of their privileges, restrictions, and requirements WBRP has.

WBRP Management – Bobby Barter, T.C. Long - They have the authority to represent the Promoter. Questions or concerns should be addressed and answered by these individuals ONLY.

  1. Exhibitors agrees to accept the booth or stall space assigned and further agrees to accept reassignment to create a more effective show or for safety purposes.
  2. Due to sponsor exclusivity, no feet and leg protection, vehicles, equine therapy, saddles, western boots, and supplements will be allowed to set up.
  3. WBRP reserves the right to limit the number of exhibitors selling the same items.
  4. Some facilities do not allow signs, fixtures, or any other types of merchandise to be taped, hung, or stapled to the facility property so be sure to check with WBRP management prior to setting up at the event.
  5. Subletting of stall/booth space is prohibited, two or more firms may not exhibit in a single space unless approved by show management.
  6. All aisles must be kept free of equipment, displays, etc.
  7. Outside vendors - There will be no refunds due to weather conditions. Please be aware of this as you are applying at your own risk.
  8. Exhibitor sales of food and beverage for consumption at the event shall be made only with the permission of the building concessionaire.
  9. The show management reserves the right to reject any applicant for space at any time, and reserves the right to regain possession of any space by refunding to the applicant or exhibitor the amount paid for the space.
  10. Any specialty electricity, carpentry, wiring connections shall be installed at exhibitor’s expense and will meet with all requirements of the arena management.
  11. All labor necessary in setting-up or removing exhibits must be supplied by exhibitor and must comply with building labor requirements.
  12. Exhibitors are to have trade show booths set up and ready the night before the show opening unless prior approval is given by WBRP.
  13. All exhibits must remain intact until the close of the show, unless approved by WBRP.
  14. The decision of the show management must be accepted as final in any disagreement between exhibitors or in the decision to remove from the show any exhibitor or his representative performing any act or practice which, in the opinion of the management, is objectionable.
  15. All matters not covered in these conditions are subject to the decision of the show management.
  16. Electrical extension cords must be 3-wire with ground.
  17. Cancellation- If exhibitors fail to make payment required by the contract in a timely manner, WBRP may terminate that contract and exhibitor’s participation in the event without further notice and without obligation to refund monies previously paid.
  18. WBRP is expressly authorized, but has no obligation, to occupy or dispose of any space vacated or made available by reason of action taken under this paragraph in such a manner, as it may deem best, and without releasing exhibitor from any liability there under. WBRP may also terminate the contract without any obligation on WBRP’s part to refund any payment previously made and without releasing exhibitor from any liability arising as result of or in connection with such breach. If WBRP removes or restricts an exhibit which WBRP considers to be objectionable or inappropriate, no refund will be due to exhibitor. Not withstanding the foregoing, if WBRP cancels the event due to circumstances beyond the reasonable control of WBRP (such as acts of God, war governmental emergency, labor strike, or unavailability of the Exhibit Facility), WBRP shall refund to each exhibit space rental payment previously paid.
  19. Guarantee- WBRP makes no representations or warranties regarding the number of persons who will attend the show. Exhibitor understands that neither WBRP nor its agents or representative guarantees attendance at WBRP nor any financial gain to any exhibitor participating in the show.
  20. Compliance With Laws and Regulations- Exhibitors shall abide and observe all federal, state, and local laws, codes ordinances, rules and regulations and all rule and regulations of the Exhibit Facility (including any union labor work rules.)
  21. Exhibitors are responsible for any damage to the facility.
  22. Exhibitor is responsible for any local, state, Federal taxes.
  23. All employees of WBRP have the right to purchase items at Wholesale Pricing.
  24. All vendor space is based upon availability. Vendors may be moved to a space with comparable square footage.
  25. All inside vendor spaces are either 8 X 15 or 10 X 10, no exceptions. If items are outside marked area you will be warned twice to move them. The third time your vendor space will double the cost. This includes racks, employees, or any other merchandise.
  26. Some facilities do not allow signs, fixtures, or any other types of merchandise to be taped, hung, or stapled to the facility property so be sure to check with WBRP management prior to setting up at the event.
  27. Some electrical outlets are not going to be located by certain booths so please be prepared and furnish your own 3-wired extension cord. Do Not ask WBR for any special favors regarding electricity.
  28. Vendor spaces are not pre-assigned at any event. Spaces are to be set upon arrival of the facility and ALL sponsors will have the first choice of location.
  29. We at World Barrel Racing appreciate each and every one of you for all that you have brought to our sport and have came to know some of you on a personal basis, but please make note that no matter how good of friends we all might be there will not be any special favors.
